For our Central Post office in the center of Rotterdam, we are looking for a highly organized and proactive:

PMO Coordinator

Location: Central Post Rotterdam, The Netherlands

As a PMO Coordinator, you will be responsible for the administration needs of projects and programs to support the overall governance and effective performance management. This involves Portfolio, Program and Project Management Offices. You will assist the Project- and Program Managers with specific administrative tasks related to their assigned projects and programs. You will make sure to organize and communicate all the details of the projects with the assigned team members and serve as a liaison between those team members and the Project- and Program Manager.

Your responsibilities are:

  • Maintaining PMO processes, templates and standards within the Olenex organization;
  • Closely working together with the PMO manager, project managers & stream leads to provide program/portfolio management support where needed;
  • Alignment, creation and continuous improvement of project and process flows in MS Visio;
  • Provide PMO support for the project/program including new project set up and onboarding new team members;
  • Responsible for SharePoint set-up and administration including security/authorization requests;
  • Project document & template optimization and version control;
  • Support in training for project managers;
  • Prepare and create program reporting and communication, e.g. in the form of newsletters;
  • Organizational support with internal events and initiatives;
  • Prepare and arrange project/program meetings and ensure successful meeting facilitation including the management of attendee availability/confirmation, room assignments, catering;
  • Coordinate project resource changes, including update of project documentation (team lists, organization charts).

 

Who are you?

To excel in this role, you are very organized, accurate and punctual. You can oversee the priorities and details and you make sure that every project is running smoothly. Besides that, you are a strong communicator, and you can build strong relationships within the business. You are spontaneous and proactive, and you aren’t scared to take action!

  • You have a bachelor’s degree or certificate in Project Management;
  • Speaking and writing English is required, besides that both Dutch and German would be an advantage;
  • You have strong Microsoft Skills: MS Project, MS Excel, MS Work, MS PowerPoint, MS Forms, Visio, SharePoint.
